Privacy Policy

We collect the information needed to run the Guild and the Platform, including:

• Account & login — your email address, name, and assigned role, used to create and secure your account.
• Member profile — your pirate name, preferred nickname, real (mundane) name, pronouns, bio, personal quote, interests, faire specialties, profile photo, banner image, ship, rank/title, and status message.
• Birthday & age — your birth date so the Guild can celebrate you, and an “under 18” indicator that helps restrict certain content.
• Social & forum content — posts, comments, reactions, attached photos and media, shared links, Spotify and Pandora music shares, forum threads and replies, and Suggestion Chest submissions.
• Messages — chat-room and direct messages, read receipts, and presence/typing indicators.
• Photos & gallery — photos and albums you upload, and member tagging in pictures.
• Events — RSVPs and event locations you interact with.
• Treasury & dues — dues and payment transactions, payment method, references, and related notes recorded by officers.
• Files — documents you upload, including files mirrored from Google Drive through the Guild’s sync.
• Read & sign — documents you are asked to read and sign, and your typed-name e-signature.
• Notifications — your push-notification subscription identifier and your notification preferences.
• Calendar — a personal token in your calendar-subscription feed URL that acts like a password for that feed.
• Connections — your social graph: who you’ve connected with and pending requests.
• Activity logs — records of actions you take on the Platform, kept for Guild administration and audit.

We use your information to operate the Guild and the Platform — maintaining the member directory and roster, running events and RSVPs, tracking treasury and dues, powering messaging and forums, displaying photo galleries, celebrating birthdays, keeping the community safe through moderation, and sending you the notifications you’ve opted into.

The Platform uses these third-party services, each with its own privacy practices we encourage you to review:

• Base44 — hosting and backend services.
• OneSignal — push notifications.
• Spotify — outbound playlist links and embedded players.
• Pandora — outbound station and playlist links.
• Google Drive — file synchronization through the Guild’s authorized connection.
• Giphy — GIF search.
• Email delivery — sending messages and notices.

We only share the information each service needs to function.

You control much of what other members see. You can hide your mundane name, hide your contact details, and choose which profile fields are public. Posts and photo albums have visibility levels — all members, your ship, your connections, selected members, or only you.

Guild leadership and platform administrators have broader access for moderation, treasury, and administration. We do not sell your information.

Private conversations are not monitored. Any private chat or direct message — a conversation between only you and the people you choose to include — is not monitored or reviewed by leadership or administrators. Only public chats and forum discussions are moderated. Note that private message content is stored by the Platform to deliver it to your conversation and may be retained as described in the Data Retention section.

Notifications are optional and use OneSignal. You can opt in or out at any time, and choose which categories of alerts you receive. You can also adjust notifications in your device settings.

We keep your information while your account is active and for Guild record-keeping and audit purposes afterward. Items you delete or move to trash may be retained for a period before they are purged. You can request deletion of your information; some records may be kept where required for Guild administration.

The “under 18” indicator restricts certain content, such as 18+ forum topics. The Platform is not directed to children under 13, and we do not knowingly accept accounts from children under 13.

You can edit your profile, adjust your privacy and visibility settings, manage your connections, opt out of notifications, and request deletion or export of your information. To exercise any of these rights, contact us using the details below.

We take reasonable safeguards to protect your information, but no system is perfectly secure. We cannot guarantee against determined intrusion.

We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent revision.
